Trucking Expense Tracker: What Owner-Operators Should Record
A complete expense record is more useful than a box of receipts. Organize each cost when it happens so you can see profit, prepare for taxes, and support deductions.

Track expenses by category and by truck
Record the date, vendor, amount, category, payment account, truck or trailer, and receipt for each purchase. If a cost belongs to a specific trip, connect it to that trip as well.
This structure answers two different questions: what did the business spend, and which truck or load generated the cost? Both matter when deciding whether a lane, customer, or vehicle is profitable.
Core trucking expense categories
- ✓ Fuel, DEF, and fuel-card fees
- ✓ Truck and trailer repairs, parts, tires, and preventive maintenance
- ✓ Tolls, scales, parking, washes, and roadside services
- ✓ Insurance, permits, registrations, plates, and compliance services
- ✓ ELD, dispatch, factoring, load-board, phone, and software fees
- ✓ Lumper fees and other accessorial costs
- ✓ Truck payments, lease payments, and equipment purchases
- ✓ Travel expenses and qualifying meals or per diem records
Capture the receipt immediately
Receipts fade, get lost, and become difficult to match with bank statements. Photograph the receipt when the expense happens and record a short business purpose. Keep the original when required by your company policy or tax professional.
A bank or credit-card statement proves that money moved, but it may not prove what was purchased or why it was a business expense. The receipt and note complete the record.
Separate reimbursements from income
If a carrier reimburses a lumper, toll, or other cost, track both the original expense and the reimbursement. Do not simply erase the expense. Keeping both entries preserves the paper trail and makes settlement reconciliation easier.
