TruckerHand Privacy Policy

1. Scope and controller
This Privacy Policy explains how TheMagne LLC ("TheMagne," "we," "us," or "our") collects, uses, discloses, retains, and protects personal information when you use TruckerHand, including truckerhand.com, our web application, related mobile experiences, communications, and support services (collectively, the "Service").
TheMagne LLC is the business responsible for the personal information described in this Policy. This Policy does not govern third-party websites or services that have their own privacy policies.
2. Information we collect
- Account and contact information, such as your name, email address, account identifier, and support communications.
- Subscription and transaction information, such as plan, subscription status, billing history, and transaction references. Stripe processes payment-card information directly; TruckerHand does not store complete payment-card numbers.
- Content you choose to provide, including trip and route details, locations, mileage, expenses, receipts, manually uploaded bank statements, settlements, vehicle and maintenance records, IFTA information, compliance documents, tax-preparation inputs, wellness entries, AI-chat prompts and responses, and other files or notes.
- Precise location information when you enable weather alerts. TruckerHand uses your browser’s high-accuracy Geolocation API, with your permission, to request National Weather Service alerts for your current position. The coordinates pass through our server for that request and are not stored in our application database. You may revoke location permission through your browser or operating-system settings.
- Device, usage, and security information, such as IP address, browser and device type, operating system, pages or features used, timestamps, diagnostic logs, and security events. Legal-acceptance records use a one-way hash of the originating IP address rather than storing the raw IP in that record.
- Information received from service providers, including authentication status from Clerk, payment and subscription events from Stripe, and technical or delivery information from hosting, database, email, mapping, weather, and AI-processing providers.
3. Sources of information
We collect information directly from you, automatically when you use the Service, from your device when you grant permission, and from service providers that help us authenticate users, process payments, host the Service, deliver communications, prevent fraud, or provide requested features.
4. How we use information
- Provide, operate, personalize, maintain, and improve the Service.
- Authenticate users, administer accounts, start and manage trials, process subscriptions, and provide customer support.
- Calculate and display trip, expense, profit, compliance, maintenance, wellness, and other requested analytics; generate reports and exports; and process files you submit.
- Provide AI-assisted features, including chat and document or receipt analysis, when you choose to use them.
- Send transactional, security, support, trial, billing, and other service-related communications.
- Protect the Service, enforce our Terms, detect fraud or abuse, troubleshoot errors, and maintain legal and acceptance records.
- Comply with law, lawful process, and valid government requests; establish or defend legal claims; and support a merger, financing, acquisition, reorganization, or sale of assets.
5. AI-assisted processing
When you use an AI-assisted feature, the prompts, receipt images, documents, or other content needed to provide that feature may be sent to Anthropic, our current AI-processing provider. Receipt images are transmitted to Anthropic to suggest extracted fields; TruckerHand does not save the raw image in its application database, while any extracted expense record remains pending your review. Chat content may be processed to generate a response. Review AI-generated output before relying on or saving it, and do not submit information you are not authorized to process or unnecessary sensitive information.
6. How we disclose information
We disclose personal information only as reasonably necessary for the purposes described in this Policy. Categories of recipients may include:
- Infrastructure and product providers, including Clerk for authentication, Supabase for database services, Vercel for hosting, Stripe for payment processing, AWS for email delivery, Anthropic for AI-assisted chat and receipt processing, and providers supporting mapping and weather features.
- Professional advisers, auditors, insurers, and contractors that are subject to appropriate confidentiality or data-handling obligations.
- Law enforcement, courts, regulators, government authorities, or other parties when disclosure is required by law or reasonably necessary to protect rights, safety, security, users, or the public.
- A buyer, investor, lender, or successor in connection with a proposed or completed corporate transaction, subject to appropriate safeguards.
- Other parties at your direction or with your consent.
7. Sale, targeted advertising, and profiling
We do not sell personal information for money. We do not currently share personal information for cross-context behavioral advertising or use it for targeted advertising as those terms are defined by applicable U.S. state privacy laws. We do not use personal information to make decisions that produce legal or similarly significant effects through automated profiling. If our practices change, we will update this Policy and provide any legally required choices before the change applies.
8. Cookies and similar technologies
TruckerHand and its providers may use cookies, local storage, and similar technologies that are necessary for authentication, security, session management, preferences, performance, and service operation. We do not currently use advertising cookies. Browser controls may allow you to block or delete cookies, but disabling essential technologies may prevent parts of the Service from working.
9. Sensitive and professional information
Some content you choose to enter,such as financial documents, precise location, compliance records, or optional wellness metrics,may be considered sensitive under certain laws. Wellness metrics may include weight, height, waist measurement, blood pressure, and blood glucose. They are stored with your account to provide your private history and informational wellness features; they are not used for advertising or insurance decisions. TruckerHand is not designed to collect Social Security numbers, complete payment-card numbers, financial-account passwords, regulated medical records, biometric identifiers, genetic information, or other unnecessary highly sensitive data. Do not upload such information. Wellness features do not create a clinical medical record or provide diagnosis or treatment.
10. Retention and deletion
We retain personal information for as long as reasonably necessary to provide the Service, maintain your account, satisfy legal, tax, accounting, security, fraud-prevention, dispute-resolution, and enforcement needs, and fulfill the purposes described in this Policy. Trial data is scheduled for deletion within 30 days after trial expiration unless you subscribe or retention is required for security, fraud prevention, legal compliance, a legal hold, or dispute resolution. Deletion from encrypted backups may occur through the normal backup lifecycle.
Legal-acceptance, billing, transaction, and security records may be retained after account deletion when reasonably necessary to demonstrate compliance, complete transactions, prevent abuse, or establish or defend legal claims. Where permitted, we may retain aggregated or deidentified information that cannot reasonably identify you.
11. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect personal information, including authentication, access controls, encrypted transport, database row-level security, and restricted server-side credentials. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Keep your credentials confidential and contact us promptly if you suspect unauthorized access.
12. Your privacy rights and choices
Depending on where you live and subject to applicable exceptions, you may have the right to confirm whether we process your personal information; access, correct, delete, or obtain a portable copy of it; opt out of sale, targeted advertising, or certain profiling; limit or withdraw consent for certain sensitive-data processing; and appeal a denial of your request. Because we do not currently sell personal information or use it for targeted advertising or significant-decision profiling, there may be no such processing to opt out of.
To exercise a privacy right, email contact@magnellc.com with the subject line "Privacy Request" or use the contact details below. We may verify your identity and authority before acting. An authorized agent may submit a request where permitted by law, but we may require proof of authorization and identity. We will respond within the period required by applicable law and will not unlawfully discriminate against you for exercising a privacy right.
13. Children
The Service is intended only for adults age 18 or older and is not directed to children. We do not knowingly collect personal information from children under 13. If you believe a child provided personal information to us, contact us so we can review and delete it as appropriate.
14. United States processing and international users
The Service is operated from the United States. If you access it from another country, your information may be transferred to and processed in the United States and other locations where our providers operate. Those locations may have data-protection laws different from the laws where you live. TruckerHand is not presently directed to residents outside the United States.
15. Third-party services
The Service may link to or interoperate with third-party services. Their privacy practices are governed by their own policies, not this Policy. Review those policies before providing information to a third party.
16. Changes to this Policy
We may update this Policy as our Service or legal obligations change. We will post the revised version and effective date. When required by law or when a change is material, we may provide additional notice or require renewed acknowledgement. Your use of the Service remains subject to the version presented to you through our legal-acceptance process.
